Our Mission: The Best Living Experience in the World. The 10-Step System We Built to Deliver It.

Over the past few weeks, we have been sharing the story of what we built when we launched Faris Property Management. Week one was the investor case: why we went in-house and what it means financially. Week two was the resident experience framework: how five operational manuals and AppFolio automation systematize the care we deliver to every Rose (our resident avatar) in every Faris Residences community.

This week we want to pull the camera back and share the framework that those manuals and workflows are built around: the Faris Residences 10-step resident experience system.

Our mission is stated plainly, and we believe it without apology: to provide the best living experience in the world. Target completion date: December 31, 2026. That date is on the wall, literally, because a mission without a deadline is a wish. We are not wishing. We are building.

Here is the 10-step system we built to deliver that mission, what each step involves, how it is documented and automated, and why it matters for residents and investors alike.

1. Market Research: Know the Community Before You Serve It

Everything starts before a single prospect ever contacts us. Before we can serve Rose, we need to understand the market she is choosing within, the competitive landscape she is evaluating us against, and the specific resident profile her community is designed for.

This step has three specific completion criteria: a SWOT exercise completed after property standards are set, a resident 10-point data profile finalized pointing to the Property Avatar for that community, and a Weekly Competition Tracker maintained on an ongoing basis.

The resident 10-point data profile, which we call the Property Avatar, is a discipline borrowed from the best consumer-facing businesses and applied to multifamily. We define exactly who Rose is at each property: her approximate income range, her employment profile, her household composition, her lifestyle priorities, and what she values in a home. That profile drives every downstream decision, from how we position the community online to how we price, how we tour, and how we communicate.

The Weekly Competition Tracker keeps us honest. Knowing what competing communities are offering, their pricing, their concessions, their amenity package, their online reputation, allows us to position each Faris Residences community intentionally rather than reactively. We are not setting our rents by what others charge. We are understanding the market so we can offer something genuinely better at a fair price.

Investor takeaway: Market research at the property level is how we translate our broader investment thesis, employment diversity, domestic in-migration, supply constraint, into specific resident targeting and competitive positioning. It is the bridge between macro underwriting and day-to-day operational execution.

In simple terms: Before we try to attract residents, we do our homework. We study who lives in the neighborhood, who our competition is, and exactly who the right resident for each community is. That knowledge shapes everything else, how we market, how we price, and how we talk to prospective residents.

2. Online Presence / Lead Generation: Be Found Before the Search Begins

Once we know who Rose is and what the competitive landscape looks like, we build the online presence that will bring her to us. In 2026, the apartment search begins online long before anyone makes a phone call. Our lead generation step ensures that Faris Residences communities are not just findable, they are compelling.

Three completion criteria: professional property marketing captured after property standards are completed, lead channels optimized by ROI, and a 'Why us' video and rental guide free download deployed as lead magnets.

The 'Why us' video is content that most apartment communities never produce, and it is one of the highest-ROI investments in the lead generation stack. A prospective resident who has watched a genuine, professionally produced video about what makes this community different arrives at the inquiry stage already warmed up. She has heard the community manager's voice. She has seen the renovated kitchen. She already knows what 'Love Lives Here' means in practice at this specific location. The conversion rate from a video-first lead to a signed lease is meaningfully higher than from a cold inquiry off a listing.

The rental guide free download captures contact information from prospects who are still in research mode, before they have made a decision about which community to tour. By providing genuinely useful information, a guide to the neighborhood, a checklist for evaluating an apartment, an honest guide to what to look for in a lease, we begin the relationship at a moment when most competitors haven't even entered the picture yet.

Investor takeaway: Lead generation quality directly affects the cost and speed of leasing. Communities that attract higher-quality, pre-educated leads convert more efficiently, require less staff time per lease, and attract residents who chose the community with full information, which correlates strongly with higher renewal rates.

In simple terms: Most people find their next apartment online before they ever talk to anyone. We invest in making sure Faris Residences communities look great online, show up where people are searching, and give prospective residents genuinely useful content. By the time Rose calls us, she often already feels like she knows us.

3. Lead Conversion: Never Let a Prospect Wait

A prospect who contacts a Faris Residences community deserves an immediate, human response. The speed of first contact is one of the strongest predictors of whether an inquiry converts to a tour, and whether a tour converts to a lease.

Three completion criteria: less than 1-minute online lead response time, 95% live pick-up rate including after hours, and a lead value text and email follow-up campaign for prospects who don't immediately convert.

The 1-minute response standard is not aspirational. It is a documented, AppFolio-enforced expectation. When a lead comes in through any channel, the clock starts. This standard reflects what research on lead conversion consistently shows: the probability of reaching a prospect drops exponentially after the first five minutes. We are not waiting five minutes.

The 95% live pick-up target, including after hours, reflects our commitment to being available when Rose is available. Prospective residents don't shop for apartments on a 9-to-5 schedule. Our after-hours coverage is built into our staffing model and AppFolio communication workflows so no inquiry goes unanswered because it came in at 7 pm on a Tuesday.

Investor takeaway: Every missed lead is a missed lease. At average rents in our portfolio, a single missed prospect who signs elsewhere represents $13,000 to $16,000 in annual revenue that flowed to a competitor. Lead conversion discipline is not a soft metric. It is a direct revenue driver with a measurable dollar impact.

In simple terms: When someone reaches out to us, we respond within one minute. Not one hour. One minute. And we answer the phone 95% of the time, even after hours. Most apartments miss leads constantly because nobody gets back to people fast enough. We built our systems to make speed the default, not the exception.

4. The Love Tour: An Experience, Not a Walkthrough

The tour is where Rose decides whether this is her home. It is not a property walkthrough. It is a designed experience that communicates who we are, what we stand for, and why living here is different from living anywhere else.

Three completion criteria: feature books and gift bags with 'Love Lives Here' mugs provided to every touring prospect, mini model units as the standard showing space, and a Love Tour with value stack presentation, delivered on an iPad by a trained team member.

The feature book is a branded, professionally designed piece that Rose takes home with her. It includes information about the community, the renovations, the amenities, the neighborhood, and the Faris Residences mission. When she is comparing notes on three communities she toured, ours is the one with a beautiful book, not a generic printout from a leasing portal.

The mini model unit is the detail that separates professional operators from amateur ones. Showing a lived-in, inconsistently prepared unit communicates carelessness. A clean, well-staged, beautifully presented model unit communicates exactly who we are: a team that sweats the details and takes pride in what we offer. Rose sees the renovated kitchen, the new flooring, the modern lighting, and the smart access, and she imagines her life there. That imagination is the moment the lease begins to be signed.

The value stack presentation, delivered on an iPad by a trained team member, ensures that every prospect understands not just the apartment but the full value of what it means to live in a Faris Residences community: the management team, the maintenance response standards, the resident events, the renewal program, and the community culture. Price becomes a smaller part of the decision when value is understood clearly.

Investor takeaway: Tour conversion rates are one of the most directly controllable leasing metrics available. A structured, differentiated touring experience converts more prospects per tour than an unstructured walkthrough. That means fewer required leads per lease signed, lower marketing cost, and faster lease-up velocity, all of which improve NOI.

In simple terms: Our apartment tours are designed experiences, not property walkthroughs. Every person who tours a Faris Residences community gets a gift bag, sees a beautifully prepared model unit, and hears a clear explanation of everything that makes living here special. We want Rose to leave the tour thinking about her life in that apartment, not comparing square footage numbers on a spreadsheet.

5. Application / Lease: Fast, Branded, and Frictionless

A prospect who has just had a great tour is at peak enthusiasm. The worst thing a leasing team can do is lose that momentum with a clunky, confusing, or slow application process. Our application and lease step is built to convert that enthusiasm into a signed lease as fast as possible, without ever sacrificing thoroughness or compliance.

Three completion criteria: a 4-minute branded easy application online or on iPad, 5-minute approval with instant lease via DocuSign, and next steps and orientation booking link sent by text and email.

The 4-minute application is a design discipline, not a data compromise. We capture everything we need to process a thorough, compliant application, but we have eliminated every piece of friction that slows Rose down without adding value. The application is available on the leasing agent's iPad so it can be completed on-site during the tour, when motivation is highest.

The 5-minute approval target, enabled by our AppFolio screening integration, means a qualified applicant is not left waiting days for a decision while she tours other properties. She applies, she is approved, the lease is generated electronically, and she DocuSigns it in a single session. The orientation booking link that follows immediately confirms the next step and maintains momentum toward a committed move-in date.

Investor takeaway: Application-to-lease conversion is a direct function of speed and clarity. Every day between tour and signed lease is a day the prospect may be signing at a competing community. Our 5-minute approval standard dramatically reduces the window of competitive vulnerability that traditional application timelines create.

In simple terms: Once someone decides they want to live with us, we don't make them wait. Our application takes 4 minutes online or on a tablet. Approval happens in 5 minutes. The lease is signed digitally, on the spot. And the moment it's done, they get a text with a link to book their move-in orientation. Fast, clear, and designed to make yes feel easy.

6. Move In: The First Day of the Relationship

Move-in day is the moment the relationship between Rose and her community begins in earnest. It is the day she forms her first impression of whether we kept our promises. It is the single most important day in the resident lifecycle, and we treat it accordingly.

Three completion criteria: orientation presentation with mutual commitment signed, move-in wow package created and delivered, and move-in checklist completed consistently.

The orientation presentation is a structured, branded welcome into the Faris Residences community. It covers the practical information Rose needs, how to submit a maintenance request, how to pay rent online, how to reach her community team, but it also communicates the culture she has just joined. The mutual commitment that is signed at orientation is not a liability waiver. It is a genuine two-way commitment: we commit to the specific standards of service she should expect, and she acknowledges the community standards we ask residents to uphold. It sets the tone for a relationship built on mutual respect.

The move-in wow package is the physical embodiment of the 'Love Lives Here' brand on the day it matters most. A carefully curated welcome gift, warm, personal, and reflective of our mission, communicates that this is not just a transaction. It is a welcome.

The move-in checklist, automated in AppFolio and assigned to the community manager when the lease is signed, ensures every preparation is complete before Rose arrives: unit inspected, appliances tested, keys and access credentials confirmed working, utilities verified active. A resident who moves into a unit where the dishwasher doesn't work or the door lock is sticky has her first impression formed before she has unpacked a box. We do not let that happen.

Investor takeaway: Move-in experience quality is one of the strongest predictors of renewal. A resident whose move-in exceeded expectations is fundamentally more likely to renew at first opportunity. Investing in an exceptional move-in is investing in renewal revenue 12 months later.

In simple terms: Move-in day is the most important day we have with a new resident. We make sure her apartment is truly ready, not almost ready. She gets a welcome gift that makes her feel celebrated, not just processed. She goes through an orientation where we both commit to how this relationship is going to work. The goal is for Rose to end her first day in her new home thinking: I made the right choice.

7. Collections: Dignity, Consistency, and Zero Surprises

Rent collection is where the operational rubber meets the financial road. Our collections step is built around three principles: make paying easy, make accountability transparent, and maintain the resident relationship throughout the process.

Three completion criteria: 100% online rent payments, visibility and accountability on collections filing and communication schedule, and a bad debt collection partner in place.

The 100% online payment standard eliminates the friction and error-prone nature of check-based payments and ensures our AppFolio dashboard reflects the true payment status of every unit in real time. When a payment has not posted by the third of the month, the system flags it and triggers our early outreach workflow, a friendly, professional communication that gives the resident an opportunity to address a timing issue before it becomes a formal delinquency. Most late payment situations are resolved at this stage, before any formal process begins.

The collections filing and communication schedule is documented in our Community Manager Operations manual. It specifies exactly what communication goes out, when, and who is responsible for it, from the day-3 reminder through the notice-to-pay timeline and, if necessary, the handoff to our bad debt collection partner. Every step is logged in AppFolio so the history is always available, the timeline is always visible, and accountability is always clear.

Investor takeaway: Collections performance is a direct NOI driver. A 1-percentage-point improvement in on-time payment rates across our 563-unit portfolio represents approximately $75,000 in annual revenue that arrives on schedule rather than in arrears. Our collections system is designed to maximize that figure through proactive outreach, not enforcement-first tactics.

In simple terms: We make it easy to pay rent online. We track payments in real time. And when someone falls behind, we reach out early, personally and professionally, to help them get current before the situation gets complicated. We're not looking to penalize residents. We're looking to maintain a healthy financial relationship so they can stay in their home and we can keep operating the community well.

8. Work Orders: 24 Hours, Every Time, With a Personal Touch

Nothing communicates whether a community genuinely cares more clearly than how it handles maintenance requests. This is the step where trust is built or lost, slowly, one work order at a time.

Three completion criteria: 90% of work orders completed within 24 hours, completion card and small treat delivered at completion, and 'On my way' text plus post-service survey.

The 24-hour completion standard is enforced through AppFolio's work order escalation workflow. When a request is submitted, it is categorized by priority and assigned immediately. If an emergency request is not acknowledged within one hour or a routine request is not completed within 24 hours, the system escalates automatically to the community manager, and then to Abel Leonardo at the director level if needed. No maintenance request disappears into a queue and stays there.

The 'On my way' text is a small detail that makes a large difference in resident satisfaction. When the maintenance technician is en route, Rose gets a text. She is not left wondering whether her request was received or forgotten. That single text eliminates the most common source of maintenance-related frustration: not the repair itself, but the not knowing.

The completion card and small treat are the 'Love Lives Here' brand expressed in physical form at the most practical moment in a resident's relationship with the community. The work is done. On the counter: a handwritten card acknowledging the inconvenience and a small token, candy, a coffee gift card, something warm and human. Rose asked us to fix something. We fixed it. And we said thank you for her patience. That is the emotional experience of a maintenance interaction done right.

The post-service survey closes the loop: it gives Rose a voice, it gives us data, and it signals that her opinion of the experience matters beyond the work order being marked complete.

Investor takeaway: Maintenance response time is the single most important driver of resident satisfaction scores, and resident satisfaction scores are one of the strongest predictors of renewal intent. The 24-hour completion standard and the human touches surrounding it are designed to convert maintenance interactions from a friction point into a trust-building moment.

In simple terms: When something breaks in a Faris Residences apartment, three things happen: the resident gets a text saying someone is on the way, the problem gets fixed within 24 hours 90% of the time, and when it's done, there's a handwritten note and a small gift waiting. We know maintenance isn't fun. We try to make it feel like evidence that we care, because we do.

9. Retention: Building Community, Not Just Filling Units

Renewal begins long before the 120-day renewal conversation. It begins on move-in day. It is reinforced by every maintenance interaction, every community event, every personal recognition. Retention is a culture built over 12 months, not a tactic deployed in the last 30 days of a lease.

Three completion criteria: 4 resident events and giving initiatives per year, Quarterly Love Lives Here Legend selected, and 10 resident data points and Magic Moments shared.

The 4 annual resident events are built into the community calendar at the start of the year, not planned spontaneously when occupancy dips. These are genuine community-building moments: a holiday gathering, a community appreciation barbecue, a giving initiative that connects residents to the local community they are part of. Residents who feel part of a community leave at significantly lower rates than residents who feel like tenants in a building.

The Quarterly Love Lives Here Legend is our resident recognition program. Each quarter, one resident at each community is recognized for something that reflects the 'Love Lives Here' mission, a first responder, a teacher, someone who helped a neighbor, someone who went above and beyond. The recognition is personal, public, and genuinely felt. When Rose sees that we celebrated her neighbor as a Legend, she knows this is a community that sees her.

The 10 resident data points and Magic Moments program is a relationship discipline. Our team members are trained to note and act on key personal details about each resident: a birthday, a promotion, a new pet, a child's graduation. When the community manager sends a handwritten note on Rose's birthday or leaves a small congratulatory gift after learning she got a promotion, she does not experience that as marketing. She experiences it as being known by the people who manage her home. That is an extraordinarily powerful retention force.

Investor takeaway: The cost of a resident event or a quarterly recognition program is measured in hundreds of dollars. The cost of a single unit turn, vacancy, make-ready, marketing, concession, is measured in thousands. Retention investment is the highest-ROI operational spend available in multifamily, and our 4-events, 10-data-points, quarterly-legend framework is designed to generate maximum retention impact per dollar invested.

In simple terms: We host four community events a year. We recognize one outstanding resident each quarter. We keep track of the personal details that matter to each resident, their birthday, their family milestones, their pets, and we mark those moments. Residents who feel part of a community don't just renew their leases. They recommend the community to their friends, take care of their units, and are the kind of neighbors who make everyone want to stay.

10. Renewals: A Conversation, Not a Transaction

The renewal conversation is the culmination of everything in the first nine steps. If we have done our job well, it is not a negotiation. It is a natural next chapter in a relationship that has been built deliberately over the preceding 12 months.

Three completion criteria: renewal value presentation delivered, upgrade options menu offered, and a 120, 100, 60, and 30-day renewal follow-up system automated in AppFolio.

The 120-day renewal process begins with our first proactive outreach four months before lease expiration, driven automatically by AppFolio. This is not a form letter. It is a personal call or visit from the community manager to thank Rose for being a resident, to ask genuinely how her experience has been, and to begin an honest conversation about what would make her want to stay. The goal of the 120-day touchpoint is not to close the renewal. It is to surface any unresolved concerns early enough to address them. A concern raised at 120 days can be resolved. A concern that surfaces at 30 days usually means a resident who has already made up her mind.

The upgrade options menu gives Rose something to look forward to in her renewal: a new appliance, additional storage, a parking upgrade, an amenity access expansion. Rather than presenting a simple renewal at a new rate, we offer her the opportunity to invest in her home as part of staying. This approach gives Rose a genuine reason to be excited about renewing rather than just staying by default, and it provides an opportunity to improve the unit's condition and rental positioning as part of the renewal conversation.

The renewal value presentation ensures Rose understands not just the rate she is being offered, but the full value of what she is choosing to continue: the community she is part of, the team that knows her, the maintenance standards she can rely on, the events she will be part of. Renewal is not about price. It is about whether the value is understood. Our job in the renewal conversation is to make sure it is.

The 100-, 60-, and 30-day follow-up checkpoints maintain the conversation and ensure no expiring lease falls through administrative cracks. Each checkpoint is triggered automatically by AppFolio, assigned to the responsible team member, and tracked to completion.

Investor takeaway: The renewal system is the financial output of everything in steps 1 through 9. Every market research decision, every tour experience, every maintenance interaction, every community event builds toward the moment when Rose decides to stay. A 5-point improvement in renewal rates across our portfolio adds approximately $2.5 million in capitalized asset value. The 120-100-60-30 day system is how we capture that improvement, systematically, consistently, at every property.

In simple terms: We start talking to residents about renewing their lease four months before it expires. Not with a form letter, with a real conversation. We ask what's working, what could be better, and what it would take to make staying the obvious choice. We offer upgrade options so there's something to look forward to. By the time we get to 30 days out, most renewals are already decided, because we started the conversation early and earned the answer.

Finish Strong: December 31, 2026

These 10 steps are not aspirational. They are documented, automated, trained, and accountable. Every step has specific completion criteria. Every workflow is built into AppFolio. Every team member, at Faris Property Management and at Fortis, is trained to the same standard. And every step is being implemented and measured on a timeline that ends December 31, 2026.

That date is on our wall. It is in our team meetings. It is the benchmark against which we are measuring Q4 progress. We call it Finish Strong, and we mean it.

The 10-step system is our operational answer to a question every multifamily investor should ask about every operator: what, specifically, are you doing at the property level to earn the renewal? Our answer is documented, specific, and measurable. That is what 'Love Lives Here' means in practice, not as a feeling, but as a system that delivers the feeling, every day, for every Rose, at every Faris Residences community.

‍

Investor takeaway: The 10-step system is the operational infrastructure through which our investment thesis, acquire below replacement cost, renovate for livability, operate for renewals, converts to actual investor returns. Macro fundamentals create the opportunity. Operational systems capture it. This is how we capture it.

The Bottom Line

Ten steps. Documented, automated, trained. Target: December 31, 2026.

Step 1 is knowing exactly who our resident is before she ever finds us. Step 2 is being where she searches and giving her something useful before she even contacts us. Step 3 is answering in less than a minute and picking up the phone 95% of the time. Step 4 is a tour that feels like a welcome, not a walkthrough. Step 5 is a 4-minute application and a 5-minute approval. Step 6 is a move-in that is truly ready, with a welcome gift and an orientation that sets the tone for the whole relationship. Step 7 is rent collection that is easy, transparent, and handled with dignity. Step 8 is a maintenance request acknowledged immediately and fixed within 24 hours, with a handwritten note and a small thank-you when it's done. Step 9 is the community that makes residents want to stay, events, recognition, and personal attention to the moments that matter. And Step 10 is a renewal conversation that begins four months early, offers something new to look forward to, and makes staying the obvious right choice.

All ten steps are documented in our manuals, automated in AppFolio, and being trained across every Faris Residences community.

Deadline: December 31, 2026.

Finish Strong.
